Payroll Specialist

Under the direction of the Human Resource Manager, responsible for day-to-day administration of, and support for, payroll, and accounting functions.


  • Pull punches from Time clocks, process edits and run related reports
  • Process, transmit, reconcile payroll and any changes
  • Track union status, withholds dues and provide reports to union as needed
  • Distribute payroll
  • Payroll reporting- as needed for programs, management or other accounting staff. Includes labor distribution, OT, work support, dashboard reporting and payroll accruals
  • Prepares/provides various payroll information for auditors on a year-end and annual basis
  • Follow-up to obtain additional information/documentation as requested
  • Support benefits billings/administration with updates and tracking
  • Administer & support benefits billings/administration with updates and tracking
  • Track accruals: vacation, sick and PTO time and reporting to supervisors on a bi-weekly basis
  • Administration of  ADP e-time system (add, remove employees, and update as needed)
  • Responsible for the submission of bi-weekly and monthly payroll tax payments, as well as the monthly, quarterly, and annual payroll tax filings
  • Preparation and filing of annual W-2 information to employees and the IRS
  • Reconcile and prepare bills/transmittals for benefits payment
  • Transfer funding for FSA for pay period end
  • Notify TPA of qualified status changes and process changes accordingly
  • Assist the Director of Accounting & Financial Reporting and Director of Administrative Services (HR) with various general monthly accounting and reporting responsibilities (including account reconciliations and month-end-close entries)
  • Support /back-up to Human Resources as needed
  • Preforms other clerical tasks such as needed

Associates Degree preferred.  Equivalent of high school diploma plus experience acceptable.  One to three years’ experience in payroll, finance or accounting preferred.  Successful candidate must be moderately experienced and comfortable with Excel.  Experience in Microsoft Dynamics Human Resource & Advanced Payroll modules preferred.  Certification from the American Payroll Association preferred.
